How to plan an FBO pickup
A useful FBO pickup plan identifies the correct building, the people traveling and the timing assumptions. This checklist helps a booker or aviation coordinator prepare an accurate transfer request.
Identify the exact fixed-base operator
Confirm the FBO’s name and street address with the aircraft operator or flight department. Several facilities may serve one airport, and ground access can differ from the commercial terminal. Add the destination address rather than just a hotel brand.
Share the relevant flight and passenger details
Include the flight or tail number when appropriate and keep the arrival time current. Count passengers and bags separately. Unusual luggage may require a larger category or a specific staff review even when the passenger count fits.
Agree on the meeting point
Ask operations to confirm the meeting point and any airport-access arrangements. Do not assume a chauffeur can enter an airside area or park beside an aircraft. For FBO pickups, consult the 60-minute waiting allowance after jet landing and the extra-waiting terms.
Distinguish request, confirmation and assignment
Successful authorization submits the booking request without immediate capture. Staff confirmation is a separate step. The assigned chauffeur’s name and vehicle details are provided as the trip is coordinated; a quote alone does not reserve a particular model.
